Getting started with GatePass

Your premises and admin account are ready. This guide takes you from first login to your first guest at the entrance — about 15 minutes of setup, done once.

Log in to your dashboard

gatepass.usgamalaysia.com/login

Use the email and password from your application. If you manage more than one premises on GatePass, you'll pick which one to work on after logging in — you can switch anytime later with "Tukar premis" in the dashboard header.

Tip: bookmark the login page on your phone and computer — the dashboard works on both.

Add your units

Dashboard → Units

Units are the address book everything else hangs off. Add each unit with its block (optional) and label — for example Block A, unit A-12-03.

Tip: add units before residents — every resident must belong to a unit.

Load your resident roster

Dashboard → Residents

Each resident needs just three things: name, unit, and mobile number. Add them one by one, or use bulk upload to load your whole list at once.

Important: a resident whose number is not on the roster cannot request passes. When someone moves in or changes number, update the roster first.

Create guard accounts

Dashboard → Guards

Add each guard with their phone number and a password — guards log in with their phone, not an email. They see only the scanner and check-in screens, nothing else.

Tip: the entrance only needs a phone or tablet with a camera and internet — no special hardware.

Tell your residents how to request passes

Residents use WhatsApp — no app, no account, no password

A resident expecting a guest messages KABAN on WhatsApp and receives a personal link. Tapping it opens the guest form with their identity already verified — they enter the guest's name, car plate, and date, and get a QR pass to forward to their guest.

Share this with your residents (notice board, WhatsApp group): how it works, animated — for residents.

At the entrance: scan, check in, check out

Guard login → Scan

The guest shows their QR (usually on their phone). The guard scans it; GatePass verifies the pass and shows the guest's name, unit, and plate. Every pass is single-use — the same QR cannot be used twice.

Pass status at a glance: Pending waiting to arrive · Checked in inside now · Checked out visit complete · Expired date passed, never used

Note: pass dates follow Malaysia time. A pass for today is valid until midnight tonight, then expires automatically.

Day-to-day management

Dashboard → Passes

See every pass at your premises — filter by status, open any pass for details, and create a pass on a resident's behalf if they call the office instead. The guest log is your record of who entered and when.

Managing several premises? Use "Tukar premis" in the header to switch — each premises' residents, guards, and passes stay completely separate. To add another premises to your account, contact GatePass (link below).
